Student Mobility: Selection Rules and Financing

Priority rules

When choosing the people who will get economic support from Embedded WiSeNts for visiting another site, we will first judge the proposals by quality. For deciding among proposals of equivalent quality we will use the following priority rules:
  1. PhD candidates from a partner institution to another partner institution.

  2. Master students from a partner institution to another partner institution.

  3. PhD candidates from an external institution to a partner institution.

Number of calls

We will have a call every three months. Due to the extension of the project until December 31st, 2006 we will have a total of 7 calls. The call deadlines should be:
  • 31st January 2005

  • End of April 2005

  • End of July 2005

  • End of October 2005

  • End of January 2006

  • End of April 2006 (extended deadline: May 31st, 2006)

  • End of August 2006


Selection commission

The task of the commission is to choose the candidates that will get economic support from Embedded WiSeNts. The commission will have three members, each of a different partner.

Economic support

The money limits for the budget are maximum of €3.000 per exchange. For Masters students we assign a fixed amount of €500 per month, with a maximum of €3.000.
The budget available for Student Mobility is €35.000. This budget would allow us to sponsor 12 visits of maximum duration or a higher number of shorter visits.

Process

  1. The partners publish possible assignments for Master’s students (if they are interested in getting Master’s students), or assignments for PhD candidates. It is also possible the interested PhD candidate will check the work of the different partners and get in contact with the groups where they see a possible collaboration, thus, without needing a published assignment.

  2. The interested candidate gets in contact with the partner. If the partner is interested, they elaborate together a working plan. The working plan should include: name of candidate, responsible researcher at the receiving partners side, expected results, budget, and an attached candidate CV. Here is a template for the working plan.

  3. The working plan is submitted to the selection commission before the deadline for a given call.

  4. The selection commission of Embedded WiSeNts evaluates all working plans submitted for a call and chooses the best for financing, according to the available budget. In the case of a call having too many good working plans, we may enlarge the budget of the call. Thus, we should be flexible with how much money we assign to each call.

  5. The candidate visits the institution.
    Before visiting the institution or in regular intervals, the home institution (i.e. institution to which the visitor belongs) advances the money needed for tickets and stay abroad.

  6. The visitor presents the final cost bill to his home institution that prove that the money has been spent (ticket, accommodation, etc.), with a reasonable degree of granularity (i.e. we will not require bills for the meals of someone staying during more than 7 days abroad, but will in that case assign a fix amount per day for meals and transport).
    If the candidate gets economic support from another source, he cannot declare the same costs more than once. We will thus require the original bills. It is however possible, that some costs (e.g. travelling costs for students or accommodation) are financed through another source.
    The home institution claims the costs from Embedded WiSeNts providing the corresponding documentation.

  7. After the visit the candidate presents a report on the visit to the selection commission. This report is previously reviewed and accepted by the hosting institution.

  8. Embedded WiSeNts reimburses the home institution.
